Seems like a no-brainer, right? Without your clients, there would be no business! And so you might think that you’re already doing the most when it comes to engaging with your audience, sending out regular newsletters, texting appointment reminders and emailing booking confirmations… all great points of contact! But are you using online forms?

Not only are online forms another way of engaging with your clients, but they also work towards streamlining your clinic admin, creating more time in your treatment sessions and leaving the client feeling empowered and fully invested in the service that you are providing for them.

What are online forms?

In February 2023, we released an update for PPS that included the highly anticipated new feature; online client forms. This new feature allows you to select any of your forms and send them to your clients via email to complete online.

Let’s put it into context

If you’ve ever been to a healthcare appointment of any kind, chances are, you’ve had to fill out a form and as a private practitioner, you probably deal with forms on a daily basis, from new client registration to assessment forms, consent and beyond!

You might already be taking advantage of digital forms and reaping the benefits, but just in case you had any doubts, here are just a few of the reasons why you should be using digital forms over paper:

  • Enhanced security of your documents
  • Digital backups
  • More accessible to you and your clients
  • Easily retrieve data
  • Ability to review and report on collected data
  • No need for huge filing cabinets to store your forms

 

Safety first

We’ve put quite a bit of time and effort into ensuring that this functionality is safe for you, your clients and their data!

When you send a form to your client, PPS generates a unique link which is delivered to your client via email. In addition to this link, an SMS will be sent to the client’s mobile contact number with a unique access code that allows them to access and complete the form.

This process ensures that only the intended recipient can access the form.

You also have control over when the link and access codes expire, after which, you would need to send the request to your client again.

Sounds slick, right? So how can you use them?

Online forms are pretty flexible. Using the same custom forms builder that already exists in PPS, you can create a form that perfectly reflects your needs.

Let’s explore some of the different ways in which online forms can be used to boost your clinic performance and provide the best experience for your clients:

  • Market Analysis: Use online forms to get to know your clients and build a detailed picture of your audience that will enable you to remain competitive and continue to provide an unbeatable service.
  • Feedback/Surveys: An integral part of any business is ensuring that your customers are happy. Use online forms to ensure that your customers’ experience and satisfaction are optimal!
  • New client registration: Capture all of the vital information that you need from brand-new clients in order to provide your service.
  • Pre-treatment assessment: Save time in your treatment sessions by getting some details from your client in advance.
  • Medical history: Allowing your client to fill out their medical history details in their own time gives them the opportunity to ensure all of the information is correct as they have access to any relevant documents and medication, etc., leading to more accurate information being shared with you.
  • Updating client details: It is vital that you keep your client’s details up to date. Send them an online form where they can review the existing details and make any necessary changes.
